Offer letters are short and the field layout is simple: a signature, a date, and often a printed name. Where the letter includes acknowledgements — at-will status, contingency on background check, confidentiality obligations — a checkbox or initials field next to each makes the acknowledgement explicit rather than buried in a paragraph.
Once an offer is accepted, the rest of the onboarding packet — confidentiality agreements, equipment policies, direct deposit authorizations, handbook acknowledgements — can run through the same workflow. Saving each as a template turns onboarding into a set of sends rather than a document assembly exercise.
Two forms deserve specific attention. Form I-9 employment eligibility verification carries federal requirements for electronic completion, signature, and retention, including standards for the electronic signature and audit trail, so treat it as a separate compliance question rather than assuming a general workflow covers it. Form W-4 can generally be completed electronically, but IRS substitute-form rules apply if you are not using the official form.
The accepted offer letter is the document people return to when a compensation or start-date question arises later. Download the completed PDF and its completion certificate and file it with the employee record, rather than relying on the request remaining in a dashboard indefinitely.
