A template captures the whole preparation step: the document itself, every field with its position and page, which recipient role each field belongs to, and which fields are required.
That last detail matters more than it sounds. Required flags are what stop a document coming back incomplete, and rebuilding them correctly on every send is exactly the kind of task people stop doing carefully after the third repetition.
The test is simple: if you have sent it twice, you will send it again. Almost every organization has four or five documents that account for most of their signing volume.
The instinct when a figure changes is to edit the underlying PDF and re-upload it. Usually the better answer is a field: put the rate, the term, the deposit, or the date into a text or number field on the template, and fill it in at send time.
That keeps one template rather than a proliferation of near-identical documents, and it puts the varying value into the signed record as structured data rather than as edited page content.
