HR and onboarding

Electronic Signatures for HR and Onboarding

Onboarding is a packet, not a document. The work is in getting a consistent set of signed acknowledgements from every new hire and being able to produce them years later.

Free · No credit card · No signing limits

Short answer

Bond4Docs gives HR teams free electronic signatures with no per-employee or per-document charge. Offer letters, handbook acknowledgements, confidentiality agreements, equipment policies, and direct deposit authorizations can each be saved as templates and sent to new hires, who sign from a secure link without creating an account. Each completed document carries timestamped audit history and a tamper-evident completion certificate, which is what matters when an acknowledgement has to be produced years later. Form I-9 has its own federal requirements for electronic completion and retention that a general e-signature workflow does not by itself satisfy.

Consistent packets

Templates ensure every hire receives and signs the same set of documents.

Produce it years later

Each acknowledgement has its own audit history and verifiable completion record.

No per-employee fee

Headcount growth does not change what the signing workflow costs.

The onboarding packet

Most of onboarding is acknowledgements: documents where the substance rarely changes and the point is a reliable record that this specific person received and signed it on a specific date.

  • Offer letter with an expiration matching the response deadline
  • Employee handbook acknowledgement
  • Confidentiality and intellectual property agreements
  • Equipment, device, and acceptable use policies
  • Direct deposit authorization
  • Emergency contact and personal information forms

Policy updates need re-acknowledgement

Handbook and policy updates are the recurring case where unlimited sending matters. When a policy changes, the acknowledgement needs to be collected again from everyone, and a per-signature price makes that an explicit cost decision rather than a routine one.

Sending the updated acknowledgement as a separate request to each employee produces one clean signature record per person, which is what an auditor or counsel will ask for.

Forms with their own rules

Two onboarding forms are not ordinary documents. Form I-9 employment eligibility verification carries specific federal requirements for electronic completion, electronic signature, and retention, including audit trail standards — treat it as a separate compliance question rather than assuming a general workflow satisfies it.

Form W-4 can generally be completed electronically, but IRS rules apply if you use a substitute rather than the official form. Where an onboarding packet touches health plan enrollment or medical information, note that Bond4Docs does not offer a business associate agreement and should not be used for protected health information.

Direct answers

Frequently asked questions

Is Bond4Docs free for HR teams?

Yes. There is no per-employee or per-document charge and no signing limit, so onboarding volume and headcount do not affect cost.

Can I use Bond4Docs for Form I-9?

Form I-9 carries its own federal requirements for electronic completion, signature, and retention. Treat it as a separate compliance question and confirm your approach meets those standards rather than assuming a general e-signature workflow does.

How do I collect handbook acknowledgements from everyone?

Save the acknowledgement as a template and send it to each employee as an individual request. Every person gets their own signature record and completion certificate.

Can a hiring manager countersign an offer letter?

Yes. Add them as a second recipient and enable sequential signing so the countersignature follows the candidate's acceptance.
