Bond4Docs LLC ("Company," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the Bond4Docs platform at bond4docs.com (the "Service"). By using the Service, you consent to the practices described in this Privacy Policy.
1. Information We Collect
1.1 Account and Profile Information: When you create an account, we collect your name, email address, phone number, password, primary type of use, industry, and a description of the documents you expect to send. For work or organizational use, we also collect your company or organization and role. You may optionally provide a company website.
1.2 Communication Preference: We record whether you choose to receive occasional product updates and research invitations. This choice is optional and separate from accepting our Terms and Privacy Policy.
1.3 Documents: PDF and supported document files you upload, including all content within those documents. We also store field placements, field values, and signature data associated with documents saved to your account. Files uploaded only to the PDF Converter are processed temporarily and are not added to your account unless you separately upload the converted file to Documents.
1.4 Contacts: Names, email addresses, and job titles of contacts you save in the Service.
1.5 Usage Data: Pages visited, features used, actions taken, timestamps, and session duration.
1.6 Device Information: Browser type, operating system, device type, and IP address (recorded in audit logs for document integrity).
1.7 Recipient Data: When a document is sent to a recipient for signing, we collect from that recipient: their name, email address, IP address, signature data, field input values, and the date and time of signing.
2. How We Use Your Information
- Provide, maintain, and improve the Service
- Process and deliver documents to recipients for signing
- Store and organize your documents in the filing system
- Temporarily process files you choose to convert between PDF and Microsoft Word formats
- Send transactional emails (signing requests, confirmations, notifications)
- Understand who uses Bond4Docs, evaluate common document workflows, conduct product research, and improve the Service
- Send occasional product updates and research invitations only when you choose the optional communication preference during signup. You may withdraw that choice using the unsubscribe option in a message or by contacting us.
- Maintain audit logs for document integrity and accountability
- Authenticate your identity and secure your account
- Respond to your inquiries and provide customer support
- Detect, prevent, and address technical issues, fraud, or security concerns
We do not use your information to serve advertisements or sell your data to third parties.
3. How We Share Your Information
We do not sell, rent, or trade your personal information. We may share your information only in the following limited circumstances:
3.1 Service Providers: We use third-party services to operate the Service:
- Neon — Database hosting (stores your account data, documents, and audit logs)
- Vercel — Application hosting and deployment
- Resend — Transactional email delivery (sending signing requests, confirmations, and notifications)
- Cloudflare — DNS management and security
- Adobe PDF Services — Temporary processing of files you submit to the PDF Converter, including PDF-to-Word, Word-to-PDF, and OCR-assisted conversion
3.2 Document Recipients: When you send a document for signing, the recipient will see: your name, your email address, any personal message you include, and the document content with fields assigned to them.
3.3 Legal Requirements: We may disclose your information if required to do so by law, regulation, legal process, or governmental request.
4. Data Storage and Security
4.1 Storage: Your data is stored on secure servers provided by our infrastructure partners (Neon and Vercel), located in the United States. Documents and associated data are stored for as long as your account is active or as needed to provide the Service.
4.2 Security Measures: We implement commercially reasonable technical and organizational measures to protect your information, including:
- Encryption of data in transit (TLS/SSL)
- Encryption of data at rest
- Secure authentication mechanisms
- Access controls and audit logging
4.3 No Guarantee: While we strive to protect your information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.
5. Data Retention
5.1 Account Data: We retain your account information for as long as your account is active. If you delete your account, we will delete or anonymize your personal information within 30 days, except as required by law or legitimate business purposes (such as maintaining audit logs for document integrity).
5.2 Documents: Documents are retained for as long as your account is active. Upon account deletion, your documents and associated data (fields, signatures, audit logs) will be deleted within 30 days.
5.3 Converter Files: Files uploaded from your device solely for conversion are stored temporarily, sent to Adobe PDF Services for processing, and scheduled for deletion from our temporary storage after the conversion request completes. Converted output is returned as a download and is not automatically stored in your Bond4Docs account. We retain limited conversion metadata, such as the conversion direction, source type, file sizes, timestamp, and success status, but not a copy of the converted output.
5.4 Recipient Data: Signing data (signatures, IP addresses, timestamps) associated with completed documents is retained for as long as the document owner's account is active, to preserve the integrity of the signing record.
6. Your Rights
Depending on your jurisdiction, you may have the following rights regarding your personal information:
- Access: Request a copy of the personal information we hold about you
- Correction: Request correction of inaccurate or incomplete personal information
- Deletion: Request deletion of your personal information, subject to certain legal exceptions
- Portability: Request a copy of your data in a structured, machine-readable format
- Objection: Object to certain processing of your personal information

7. Children's Privacy

The Service is operated from the United States. If you access the Service from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country.
8.1 European Users (GDPR): If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, you have additional rights under the General Data Protection Regulation (GDPR).
8.2 California Users (CCPA): If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA). We do not sell your personal information.
